Business expansion, operational efficiency, and relocation to more representative office facilities often require companies to change their domicile address. However, amidst the busyness of physical relocation and operational layout, adjustments to legal documents are often overlooked.

Many business owners assume that address updates only need to be made in internal deeds. In fact, office relocation has a direct impact on legal obligations, including Company Address Changes in the deed and registration in the licensing system. In addition, the address data registered with the Directorate General of Taxes (DJP) must be aligned with the actual conditions.

The good news is that changing the company address will not change the Taxpayer Identification Number (NPWP). Your company's 16-digit NPWP remains the same, but the domicile data and the registered Tax Service Office (KPP) will be adjusted.

Why Must Tax Address Data Be Immediately Updated?

NPWP is not just an identity number, but the main anchor of the national tax administration system. Reporting the update of the company's registered address is important for the following reasons:

  1. Ensuring Delivery of Official Documents: Ensures that Tax Assessment Letters, reminder letters, and determination documents from the KPP are delivered on time without the risk of being considered as ignoring official correspondence.
  2. Suitability for Field Verification Location: Avoids obstacles during verification or field audits by Tax Officers, especially for companies with PKP status.
  3. Coretax System Alignment: Maintains the accuracy of integrated tax data profiles in the latest Coretax portal.

Regulations on Taxpayer Data Updates

Procedures for changing tax data are regulated under the following legal frameworks:

  • PMK Number 81 of 2024: Regulates substantive provisions for Taxpayer data updates through the implementation of the Coretax system.
  • PER-7/PJ/2025: Regulates technical guidelines, supporting document completeness, and submission channels for data changes (electronic Taxpayer Portal or written submission to KPP).

Difference Between "Data Change" and "Taxpayer Transfer"

The administrative adjustment mechanism at DJP is divided into two schemes, depending on the location of your company's new office:

Tax Data Update Scheme

1. Data Change (Within the Same KPP Area)
This scheme applies if the new company address is still within the working area of the same registered KPP.

Example:
PT YXZ moves its office from the Tebet area to Pancoran. Since both locations are still under the supervision of KPP Pratama Jakarta Tebet, the company only needs to submit a Data Change request. The registered KPP and NPWP number remain unchanged.

2. Taxpayer Transfer (KPP Area Change)
This scheme applies if the new office is located outside the jurisdiction of the old KPP.

Example:
PT YXZ moves its head office from South Jakarta to the Cikupa Industrial Area, Tangerang Regency. Because the tax jurisdiction changes, the company is required to submit a Taxpayer Transfer from the old KPP in Jakarta to KPP Pratama Cikupa/Tangerang.

When Must the Address Change Be Reported?

Although the regulation does not impose specific fines based on the number of days of delay, data updates should be done immediately after the new address is officially used.

Delaying data updates risks causing data mismatches when you submit applications for e-Faktur issuance, refund disbursement, or Annual SPT reporting.

FAQ About Company Address Change

Will the company's PKP status be lost if it moves to a different KPP?
No. The Taxable Entrepreneur (PKP) status remains attached to the company. However, when the KPP transfer is completed, e-Faktur administrative data and electronic certificates will be moved to the new receiving KPP.

Should NIB management in OSS be done before or after tax data updates?
It is highly recommended to update the data in OSS (NIB) first. The updated NIB and Deed of Amendment documents will serve as valid supporting evidence when submitting data changes in the DJP/Coretax system.

Can a company use a Virtual Office lease when moving addresses?
Yes. The use of a legal and officially registered Virtual Office address is highly permitted as an administrative domicile for both tax and business operations, as long as the zoning area supports it.
